Senior Administrative Assistant (SF Office)

The Opportunity: Senior Administrative Team Assistant

Our client, a global investment firm is seeking a sharp, proactive, and professional Senior Administrative Team Assistant to join our team. This position will handle core administrative assistant duties for the team in San Francisco. Maintaining confidentiality, effectively multi-tasking, being detail-oriented, and having a strong work ethic are imperative to success. This role reports into the Senior Executive Assistant.

Principal Responsibilities:

• Provide administrative support for two SVP’s and help with the team when needed, mostly with social events and team meetings.

• Manage multiple complex, changing, high-volume calendars across multiple time-zones.

• Proactively and strategically coordinate internal and external meetings, team events, and meeting materials.

• Update and maintain entries in Salesforce and other systems.

• Process expense reports.

• Provide additional administrative and team project support as needed.

Qualifications:

• 3+ years of administrative experience supporting multiple individuals

• Able to work effectively and adapt quickly in an entrepreneurial, ever-changing environment

• Able to work collaboratively in a multi-support team model

• Highly organized, thorough attention to detail, superior communication skills

• Strong time management skills; ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines in a high-pressure environment

• Positive attitude, desire to learn, willing to go above and beyond to get the job done

• Highly motivated, self-driven, able to think independently and provide creative solutions

• Strong integrity, confidence, emotional intelligence, and ability to diplomatically navigate complex situations

• Experience with Outlook is preferred

• Experience with CRM platforms such as Salesforce a plus

• CA notary a plus
